Recruitment agency fees in India, without the fine print.
Fees are where most agency relationships go wrong, usually because nobody asked the right question before signing. Here is how recruitment agency fees work in India, what is normal, and what to check in any contract, ours included.
What are the main recruitment fee models?
There are four common models. The right one depends on how many roles you have, how senior they are, and how much of the hiring process you want an outside team to own. Each model carries different risks for the employer and the agency.
Contingency is the default in India for permanent roles. You pay nothing until someone joins, which feels safe, but it can push agencies towards speed and volume. Retained search shares the risk differently: the agency is paid to run a complete, exclusive search, which suits leadership roles where a bad hire costs far more than the fee.
For a deeper comparison of the two, read executive search vs recruitment agency. For outsourced hiring at volume, see recruitment process outsourcing.
Contingency (success fee)
You pay only when a candidate joins. The fee is a percentage of the hire's annual CTC.
Suits: Most permanent roles at junior, mid and senior levels
Ask: Is the fee on fixed pay or total CTC? When is it invoiced: offer, joining, or after a period?
Retained search
A fee agreed upfront and paid in stages, typically at engagement, shortlist and joining.
Suits: Director, VP and CXO roles, confidential searches
Ask: What happens if the search is paused or the brief changes?
Recruitment process outsourcing
A monthly management fee for a dedicated team, sometimes with a reduced per-hire fee on top.
Suits: Ten or more roles, continuous hiring, GCC ramp-ups
Ask: Which service levels are agreed, and how is performance reported?
Fixed fee per hire
A flat amount per joiner, agreed in advance, independent of salary.
Suits: Volume roles with similar pay bands
Ask: Does the flat fee still include replacement and screening depth?
| Model | How it works | Suits | Ask before signing |
|---|---|---|---|
| Contingency (success fee) | You pay only when a candidate joins. The fee is a percentage of the hire's annual CTC. | Most permanent roles at junior, mid and senior levels | Is the fee on fixed pay or total CTC? When is it invoiced: offer, joining, or after a period? |

What percentage of CTC do agencies charge?
No regulator or industry body publishes standard recruitment fees in India, so treat any number as a market pattern rather than a rule. Two industry blogs published in 2026 describe similar ranges:
| Role level | Typical fee (share of annual CTC) | Usual model |
|---|---|---|
| Junior and mid-level | 8.33% to 12.5% | Contingency |
| Senior and hard-to-fill | 15% to 20% | Contingency |
| Niche AI and cloud roles | About 18% to 20% | Contingency |
| Executive search (VP, CXO) | 25% to 33% | Retained, billed in stages |
Sources: GoodSpace industry blog, September 2026 and Hyring industry blog, August 2026. A useful piece of arithmetic: 8.33% of annual CTC equals exactly one month of CTC, which is why that figure appears so often in Indian agency contracts.
Which contract terms matter more than the percentage?
The headline percentage is rarely what causes a dispute. The terms around it do. Before signing with any agency, get clear written answers to these questions:
- Fee basis. Fixed pay, or total CTC including variable pay, joining bonus and allowances?
- Payment trigger. On offer acceptance, on joining, or after the candidate completes a set period?
- Replacement terms. How long is the guarantee, what counts as a qualifying exit, and is it a replacement or a refund?
- Ownership window. If an agency introduced a candidate and you hire them months later, do you owe a fee? For how long?
- Exclusivity. Is the agency working the role alone, or alongside others? What changes if it is exclusive?
- Non-solicitation. Will the agency avoid approaching your employees for other clients?
- Data protection. How are candidate details stored, shared and deleted?

How does Kintra handle fees?
Kintra quotes after the brief call, once we understand the role's seniority, scarcity and volume. You receive the fee, the basis it is calculated on, the payment trigger and the replacement terms in writing before any search begins. Candidates never pay Kintra anything.
If cost is the deciding factor, we will also tell you honestly when you do not need an agency at all: a strong referral network or a simple, well-paid role with a clear brand can often be filled in-house.
Recruitment fee questions
How much do recruitment agencies charge in India?
Industry blogs published in 2026 put typical permanent placement fees at 8.33% to 12.5% of annual CTC for junior and mid-level roles, 15% to 20% for senior or hard-to-fill roles, and 25% to 33% for executive search. These are market patterns, not regulated rates, and every agency sets its own terms.
Is the recruitment fee based on fixed pay or total CTC?
It depends on the contract. Some agencies charge on fixed annual pay, others on total CTC including variable pay and allowances. The difference can be significant for sales or senior roles with large variable components, so confirm the basis in writing before you sign.
Is GST charged on recruitment agency fees in India?
Yes. GST is charged on recruitment services in addition to the agency fee. An industry blog from August 2026 notes the 18% rate. Ask for quotes that show the fee and GST separately so your budget is accurate.
What is a replacement guarantee?
A replacement guarantee is a promise to find a replacement at no additional fee, or to refund part of the fee, if a hire leaves within a set period. Industry blogs describe 30 to 90 days as common, with longer periods sometimes negotiated for senior hires. Read the conditions carefully, including what counts as a qualifying exit.
Do candidates pay recruitment agencies in India?
Candidates should not pay a recruitment agency to be considered for a job. Kintra is paid only by employers and never charges candidates a registration, placement or processing fee. If someone asks you for money in Kintra's name, report it to hello@kintraconsulting.com.
How does Kintra price its services?
Kintra quotes after the brief call, once the role's seniority, scarcity and volume are clear. You receive the fee, its basis, the payment trigger and the replacement terms in writing before any search begins, so there are no surprises at invoice stage.
